Have you ever felt like you’ve hurt your chances of landing a job because you didn’t draft and send a professional thank you email? Well, you might have been right – 22% of hiring managers say they’re less likely to hire a candidate if they don’t send a thank you note after an interview.

There are lots of good reasons to do so, such as distinguishing yourself and being a memorable interviewee, slipping in anything you forgot to mention during the interview, and most importantly putting the interviewer in a good mood before they make their final decision!

Here’s our list of 10 essential rules to follow in your post interview thank you email:

1. Send the Thank You Email ASAP

It’s important to stay top of the mind for the interviewer, as there are likely at least few other candidates for the job. You want to make sure the interviewer remembers you and that you strengthen their impression of you while it’s still sharp. Try to send a thank you within 24 hours of the interview.

2. Send Personal Notes to All Interviewers

If you are interviewed by multiple people, which is often the case these days, make sure to send a thank you email to each person individually. However, keep in mind that each message should vary, so that your email doesn’t appear as a templated email. Personalize each thank you note with each interviewer’s name and adjust the details as needed.

3. Have a Relevant Subject Line

Decision-makers receive a barrage of emails every day and they won’t have time to go through all of them. To make sure that your thank you email gets noticed, send an email with a relevant headline that will attract their attention. It could simply be “Thank You” and your name, or the title of the job you interviewed for. Eg- “John Doe – Accountant”.

4. Address the Interviewer by Name

Address the interviewer by name in your email to personalize the thank you note and create a stronger connection. After the interview, remember to ask for business cards so you’ll have contact information for each interviewer for your thank you email.

5. Confirm Your Interest

Express your appreciation and confirm your interest to let prospective employers know that you are excited to work with them. This can be as simple as letting them know you are looking forward to hearing from them. Show your enthusiasm by including a link to your portfolio or LinkedIn profile, or noting anything you forgot to mention in the interview.

6. Make Reference to the Interview

Reference topics or questions that came up in the interview. For example, if the interviewer asked about your experience as a marketing professional, in your thank you email you might give a quick recap of your qualifications and provide any relevant thoughts about marketing in relation to their business. Don’t overdo it, but show a genuine interest.

7. Provide Your Contact Information

Make sure the interviewers have your contact info. Let them know that they can reach out to you if they have any questions or concerns. This conveys that you are prepared for and welcome any further questions they have and that you have more to offer that wasn’t covered in the interview.

8. Keep it Short

You don’t want to fluster the recipient with a 4 page long thank you email. Decision-makers might not have the luxury of time and will skim your thank you note instead of reading the whole thing. Keep it concise—1 to 2 paragraphs are more than enough. Write a short note and let your qualifications speak for themselves.

9. Set Expectations

If you include a sentence along the lines of “looking forward to hearing from you” at the conclusion of the thank you email, it will create a sense of obligation for recipients to reply. Politely create the expectation that the hiring manager should follow-up with you with their decision or the next step. This proactive approach will keep you top of mind.

10. Proofread

A misspelled or grammatically incorrect thank you email can turn out to be a deal-breaker. And if not, it is sure to spoil the interviewer’s impression of you. Proofread the email before sending it. Ask a friend for help, as they might catch any mistakes you missed.
